Position Overview:
To ensure effective management and control of project documentation in accordance with Company standards and client requirements throughout the full lifecycle of the project. The Document Controller ensures that all project documents are properly received, categorized, registered, distributed, and archived, and that document control procedures are followed consistently across all stakeholders.
Key Responsibilities:
Document Management System (DMS):
- Operate and maintain the DMS (ProArc).
- Set up project-specific DMS structures including folders, metadata fields, numbering systems, and user permissions.
Document Control:
- Receive, check, and accurately register incoming and outgoing documents.
- Ensure timely distribution of documents to internal teams and external.
- stakeholders (client, contractors, vendors).
- Monitor and track document workflows and approval cycles.
Project Support:
- Coordinate with the Disciplines to track document status and deliverables.
- Interface with Client Document Control to align transmittal formats, numbering systems, and delivery standards.
- Interface with Client and Vendor's Doc control. Create and maintain document distribution list and Metrix. support SCM's team for prepare DC-presentation material and join KOM meetings with Vendor's Doc Control.
- Ensure correct classification and quality of documentation in line with project IM standards.
Handover and Close-Out:
- Prepare Final Documentation Dossiers (FDD), As-Built records, and Operations & Maintenance Manuals in accordance with client handover specifications.
- Archive project documentation in accordance with company and regulatory retention policies.
Compliance and Audits:
- Support audits (internal, client, or regulatory) by providing access to documentation and logs.
- Ensure compliance with contractual obligations, ISO standards, CFIHOS guidelines, and company quality systems.
Qualifications:
- Diploma or bachelor’s degree in business administration, Engineering, Information Management, or related discipline.
- Minimum 5 years of document control experience in EPCIC projects, ideally involving offshore FPSO or similar oil & gas infrastructure.
- Proven experience in developing or maintaining document management procedures and standards.
- Experience in project lifecycle documentation.
- Understanding of digital deliverables, structured tagging, and metadata control is an advantage.
Required Skills:
- Strong knowledge of document control practices, standards, and lifecycle management.
- Proficiency in using Document Management Systems.
- Knowledge of engineering and vendor documentation types across disciplines.
- Familiarity with international standards (e.g., ISO 9001, CFIHOS, NORSOK Z-DP).
- Strong attention to detail and excellent organizational skills.
- Good communication and interpersonal skills for coordination with multi-discipline teams and stakeholders.
- Ability to prioritize tasks and work effectively under schedule pressure.
- Analytical mindset with a focus on process improvement and data consistency.
- Adaptability and cultural sensitivity to work efficiently in a fast-paced, diverse global environment.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively in multicultural and multidisciplinary teams.
