Position Overview

The Engineering Operation Administrator supports and provides comprehensive administrative, operational, and coordination support to the Engineering organization by ensuring efficient engineering administration including KPI monitoring, engineering governance, digital engineering support, cross-functional coordination, and continuous improvement initiatives. The role supports the engineering team to execute design tasks efficiently, reducing operational bottleneck and allowing them to focus on delivering high-quality technical solutions.

Key Responsibility

  • Provide administrative and operational support to the engineering team including KPI performance monitoring, any academy courses, organizing engineering meetings and technical workshops.
  • Establish the use of AI agents and automated workflows to reduce repetitive engineering and consolidate the engineering action trackers.
  • Coordinate engineering manpower planning reports, organization charts, and resource allocation updates.
  • Coordinate the development of corporate technical standards and procedures under engineering team.
  • Lead engineering induction and onboarding programs for newly joined engineers familiarizing them with corporate work process, systems etc.
  • Track and expedite the pending engineering deliverables and comment sheets, collaborating with project teams.
  • Manage Purchase Order Request system collaborating with supply chain team and handle operational administration for engineering software, tools and technical service subscriptions.
  • Maintain up-to-date approved supplier’s directories, contact matrices, and focal point details to help Package engineers communicate and work efficiently with suppliers.
  • Assist in organizing engineering deliverables, document control records, data attributes, and reference information in accordance with project procedures and client requirements.

Qualification

  • Diploma or Bachelor’s degree in Engineering, Business Administration, Project Management, Information Management, Computer Science, or a related technical discipline with a minimum of 3-5+ years of operational support or project coordination experience within engineering, EPC, or offshore/marine industries.
  • Basic understanding of engineering workflows, document control knowledge, and management of corporate standard procedures.
  • Proven track record in monitoring project deliverables, tracking action items, expediting overdue review comments, and compiling performance KPI reports.
  • Strong attention to detail and ability to identify missing, inconsistent, duplicate, or outdated data.
  • Good communication skills and willingness to coordinate with engineering, document control, procurement, construction, and project controls teams with fluency or professional working level in English.
  • Practical experience or strong interest in leveraging AI tools and no-code/low-code workflow automation to eliminate repetitive tasks. (highly preferred)

Technical Skills

The applicant should be versed with: 

  • Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Microsoft Teams & SharePoint including Microsoft Lists
  • Proficiency in M365 and Copilot, including the ability to develop Apps (Power Apps/Power Automate), AI Agents (Copilot Studio) or equivalent digital skills, and business process automation solutions will be highly preferred.
  • Basic understanding of engineering documents, drawings, engineering workflows, and project lifecycle.
  • Document Management Systems (ProArc or equivalent).
