Position Overview
The Engineering Operation Administrator supports and provides comprehensive administrative, operational, and coordination support to the Engineering organization by ensuring efficient engineering governance, documentation control, project administration, digital engineering support, cross-functional coordination, and continuous improvement initiatives. The role enables engineering teams to focus on delivering high-quality technical solutions while maintaining compliance with company standards and project requirements.
Key Responsibility
- Support collection, validation, and maintenance of engineering data, tag registers, equipment lists, line lists, deliverable registers, and project metadata throughout the project lifecycle.
- Provide administrative and operational support to the Engineering organization.
- Coordinate engineering manpower reports, organization charts, and resource allocation updates.
- Support engineering onboarding, offboarding, and internal mobility activities.
- Assist in organizing engineering deliverables, document control records, data attributes, and reference information in accordance with project procedures and client requirements.
- Coordinate data inputs from engineering disciplines, document control, procurement, construction, commissioning, and project controls teams to maintain consistent and reliable project information.
- Perform routine data quality checks to identify missing, inconsistent, duplicate, or outdated information and escalate issues to senior data engineering personnel for resolution.
- Support preparation of data extracts, dashboards, progress reports, and information handover packages for internal project monitoring and client submission.
- Maintain structured filing, naming conventions, revision control, and data traceability to support auditability and efficient information retrieval.
- Learn and apply project data standards, engineering information systems, and digital tools to improve data accuracy, workflow efficiency, and cross-discipline collaboration.
Qualification
- Diploma or Bachelor’s degree in Engineering, Information Management, Computer Science, Data Management, or a related technical discipline.
- 3~5 years of experience supporting engineering data, document control, project information management, or technical administration in EPC, offshore, marine, energy, or industrial projects.
- Basic understanding of engineering data structures such as tag registers, equipment lists, line lists, document metadata, deliverable registers, and revision control.
- Proficient use of spreadsheets and basic data management tools; experience with databases, engineering document management systems, or reporting tools is preferred.
- Strong attention to detail and ability to identify missing, inconsistent, duplicate, or outdated data.
- Ability to follow project procedures, naming conventions, data standards, and quality control checklists accurately.
- Good communication skills and willingness to coordinate with engineering, document control, procurement, construction, and project controls teams.
- Fluent or working-level English communication skills preferred for project documentation and multinational project coordination.
Technical Skills
The applicant should be versed with: -
- Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Microsoft Teams & Sharepoint
- Document Management Systems (ProArc or equivalent).
- ERP systems (e.g., SAP, Oracle) is an advantage.
- AI productivity tools (Microsoft Copilot, ChatGPT, AI Agents, etc.).
- Basic understanding of engineering documents, drawings, engineering workflows, and project lifecycle.
