Position Overview

The Project Administration Coordinator provides administrative and coordination support to P&M Admin and assigned projects.

During the initial phase, the role will primarily support upcoming project(s), assisting P&M Admin with day-to-day project administration, business travel arrangements, accommodation, meeting coordination, and general administrative support.

 

This fixed-term role is expected to subsequently transition into providing dedicated administrative support for the Client Office, which is targeted to commence operations in 2H 2027.

Key Responsibility

Project & Administrative Support

  • Provide daily administrative, secretarial and coordination support to P&M Admin and upcoming project, including meetings, visitors, transportation and travel arrangements.
  • Maintain administrative records, trackers, correspondence and project documentation.
  • Liaise with vendors, internal departments and stakeholders as required.
  • Undertake ad-hoc assignments to support project operations.

Business Travel & Accommodation

  • Coordinate domestic and overseas business travel for project personnel.
  • Arrange flights, accommodation, transportation, parking and related travel requirements in accordance with company travel policy.
  • Support travel bookings, expense settlements, visa requirements and administration through the company's designated travel system/agency.
  • Maintain travel schedules and trackers, and coordinate travel changes, cancellations and urgent requirements.

Client Office Support – Future Phase

  • Assist P&M Admin with Client Office establishment and operational readiness.
  • Coordinate office access, seating, meeting facilities, stationery, pantry and administrative arrangements.
  • Provide administrative and logistical support to client representatives, including meetings, visitors, transportation and travel requirements.
  • Act as liaison between the Client Office, project team, P&M Admin and relevant internal departments.
  • Maintain professionalism, confidentiality and responsiveness when supporting client representatives.

Qualification

  • Diploma/Certificate in Business Administration, Secretarial Studies or related discipline.
  • 2-5 years' relevant experience in project administration, secretarial or administrative coordination.
  • Experience arranging business travel, flights, accommodation, visas and transportation.
  • Proficient in Microsoft Office.
  • Experience supporting Project Managers and project teams preferred.
  • Experience with SAP Concur or similar travel/expense systems preferred.
  • Good written and verbal English communication skills.
  • Able to manage multiple priorities in a fast-paced environment.
  • Service-oriented, organised, detail-oriented, proactive and able to work independently with minimal supervision.
  • Comfortable interacting with senior management, project personnel, clients and external vendors.
  • High level of discretion and confidentiality.
